Recruit at Career Services annual events

Career Fair

Recruiting at the Career Fair is your chance to connect with top Vandal talent from a variety of majors. Whether you are looking for full-time employees, interns, co-ops or graduate school candidates, the fair offers a diverse pool of students ready to take the next step in their careers. Do not miss the opportunity to engage with motivated Vandals who are eager to contribute and make an impact within your company. Secure your table and meet your future hires or students!

Please consider attending any of our free College Networking Nights the evening prior to the Career Fair. These networking events provide the opportunity to connect with and target students in the majors you are recruiting.

Late payments:

A late payment fee of $50 will be enforced if payment for the career fair is not received by two weeks after the date of the fair.

Cancellations:

Cancellations received at least two weeks prior to the fair date will be fully refunded. Any cancellations received within two weeks of the fair owe 50% of the registration plus a $50 administrative fee.

No-shows:

Any No-Show who does not contact Career Services to cancel their registration will be responsible for the full registration amount plus the $50 administrative fee.

Parking on campus

Career Fairs at the P1FCU Kibbie Dome

Unload in Lot 31, at the east entrance of the Kibbie Dome (Map), and park in lots 34 and 57 to the west. Parking permits are not necessary on career fair day.

One-day Visitor's Permit

For any campus visit, employers can purchase a one-day visitor's pass. A license plate number is needed to make the purchase.
 

Check-in time

Check-in begins one hour prior to the start of the fair. Booth assignments and other day-of information will be provided.

Interviews

Employers may conduct interviews during in-person fairs; this is an optional activity and Career Services does not guarantee private rooms or space.

The day after Fall and Spring fairs, Career Services organizes interviews on campus. Please indicate your interest in post fair interviews on your registration to secure space. Our staff will check students in and direct them to a general waiting area where interviewers will greet them when ready. Career Services works to provide satisfactory interview space, but privacy may not be guaranteed in large rooms.

Fall and Spring registrations include the cost of one interview table for the day after the fair. Reserve additional day-after interviewing tables for $25 each when registering.

Lodging

Lodging information for Moscow, Pullman and surrounding areas is available through Visit Moscow. Some hotels offer special rates for career fair recruiters so be sure to ask when you make your reservation.

Travel

Nearby airports include:

  • Pullman-Moscow Regional Airport (within 5 minutes of downtown Moscow). Local hotel shuttles and taxis provide transportation to-and-from this airport.
  • Lewiston-Nez Perce County Airport (35 miles south of Moscow).
  • Spokane International Airport (85 miles north of Moscow).

Connect in-person

Tabling

Hosting an informational table on campus is a great way to reach students and get your brand in front of them. The Idaho Student Union Building (ISUB) is a high-traffic student center in the heart of campus. You can request tabling at the ISUB or other campus locations through Handshake or by contacting Career Services at 208-885-6121.

Information sessions

Looking to grow your presence at University of Idaho? Hosting an information session is a great way to showcase your company and connect directly with U of I students. These sessions allow you to share job and internship opportunities while giving students a deeper understanding of your organization.

Scheduling an on-campus session is simple through Handshake — just submit a request, and our Career Services team will assist with logistics and help promote your event online and by email.

To allow time for planning and marketing, please submit virtual session requests at least three weeks before the event. On-campus session requests should be submitted at least four weeks in advance.

Virtual information sessions

Setting up a session is simple through Handshake — just submit your request and an employer relations representative will review it. If you have questions about scheduling a virtual info session, call 208-885-6121.

Tips on how to optimize your virtual event

Tuesdays through Thursdays are the best weekdays to host an event. Make sure the information below is filled out on each event.

  • School: Search for University of Idaho. Make sure you’ve added us to your Favorites list and that you are approved to post events with us.
  • Date: We recommend clicking the small calendar icons to select dates
  • Time zones: The Moscow main campus and Coeur d’Alene center are on Pacific Time. The Boise and Idaho Falls centers are on Mountain Time.
  • Branding image: Include your organization’s logo to promote your session. If you have a logo for your company profile on Handshake, it will load automatically. If you would like to use a different one, click the pencil icon to upload a new image.
  • Description: Explain to students what you will discuss, include features or highlights of your session such as speakers, office 360 tours or panel members, and if applicable, consider mentioning your target majors or class years.

Reach out to our Employer Relations team to create and schedule your on-campus session.

Event setup and media needs

A staff member will meet you 15-20 minutes before your event begins to assist with setup. We can provide basic media needs, including connections for HDMI and VGA. Many event spaces also have audio. Please share media needs in advance. It can be difficult or impossible to accommodate day-of.

Parking

Career Services is pleased to provide a complimentary campus parking permit to recruiters. Our team will contact you with details after confirming your visit. To learn more about purchasing a Visitor Permit or short-term parking, visit Parking and Transportation.

Food and beverage service

Exclusivity

Idaho Eats has been contracted by University of Idaho to provide all on-campus food and beverage services. Visit Idaho Eats to view their catering services.

Ordering

Catering arrangements and menu selections must be confirmed within 10 business days of your event. Sufficient notice allows Dining Services time to schedule production and staffing. An additional fee will be assessed for all orders placed less than 10 business days prior to your event.

Reservation cancellations

Notice of cancellation for reservations must be received 48 hours in advance. Failure to cancel reservations or no-show occurrences will result in a $25 fee. Additional cost recovery may be assessed for services rendered or equipment prior to the cancellation.  The scheduling office reserves the right to refuse future requests for any group based on multiple no-show occurrences or inappropriate use of space.

Scheduling interviews

On-campus interviews are hosted by Career Services in private spaces at no cost in the Idaho Student Union Building (ISUB). We also organize interviews following our Career Fairs in the fall and spring. You can request an interview schedule at University of Idaho through Handshake. Our Employer Relations team encourages employers to conduct interviews in-person whenever possible, but if you cannot visit campus, you can use Handshake for virtual interviews. 

Employers should arrange their interviews at least six to eight weeks prior to their visit to allow adequate time for scheduling. We are happy to work with employers on shorter notice, but please be aware interview schedules may be light.

Request interviews on campus

Career Services can host in-person interviews at our office inside the Idaho Student Union Building (ISUB) in the center of campus. Staff at the Vandal Success Center desk will check students in and direct them to wait for the interviewer to collect them when ready.

Request your interview schedule through Handshake including date, time and the number of rooms. You can attach jobs already posted in Handshake or create a new posting for your interview visit.

Handshake provides detailed step-by-step instructions on how to request an interview schedule in the Handshake help center.

Types of interview schedules in Handshake

Room only

A room will be reserved in Handshake, but the slots will be managed by you outside of Handshake. You can select students for this interview schedule, but they will not be able to take slots in Handshake.

Open

Specify an application period where students who meet the qualifications set on the interview can reserve slots. The students will be able to take a slot immediately after applying.

Pre-select

Specify an application period and a signup period. Primary and alternate student choices are selected by you after the application period. Primary candidates are allowed to sign up before alternate candidates.

Virtual interviews

If you are looking to conduct interviews virtually, you can manage those schedules through Handshake using guidelines in its help center.

Career Fair interviews

Career Services organizes on-campus interviews for Career Fair employers for two days following the Fall and Spring Career Fairs.

Hosted in a large semi-private space, day-after-fair interviews last from 8 a.m. to 5 p.m. Career center staff checks students in and directs them to a general waiting area where interviewers collect them when ready.

One interview table is included with fair registration. Additional interview tables cost $25 each.

Recruiting policy

Services for employers and organizations

University of Idaho Career Services welcomes and encourages employers to recruit from the many qualified alumni and students enrolled in more than 125 majors at U of I. Our services are designed to assist organizations in their efforts to connect with qualified applicants and give students the opportunity to explore career options that complement and support their academic goals. We embrace eligible organizations at U of I and offer the following services in support of our institutional mission:

  • Job postings on Handshake (U of I’s online job/internship database)
  • Rooms and scheduling assistance for on-campus interviews
  • Conference room and tables for information sessions (up to five times per semester)
  • Advertising for information sessions and on-campus interviews
  • Career Fairs and College Networking Nights
  • Assistance developing or improving internship programs
  • Assistance connecting with academic faculty
  • Opportunity to participate in our Distinguished Employer Partnership Program and receive tailored branding services and additional opportunities to connect with targeted student populations.
Eligibility requirements to recruit at U of I

Career Services is committed to connecting U of I students and alumni with quality internship and job opportunities. The following policies have been established to ensure on-campus recruiting is a professional, fair and ethical experience for students and recruiters.

  • A recruiting entity will be eligible for employer services when it is determined by Career Services to be a legitimate entity with verifiable business name, physical address, email address, phone number, contact person and website.
  • Non-U.S. entities shall provide, to the reasonable satisfaction of Career Services staff, documentary evidence demonstrating their capability of meeting employment obligations to U of I candidates who are hired.
  • Approval to use U of I facilities and services for recruiting activities rests with Career Services or a designated university representative and may be revoked if any of the recruiting policies described above are violated. Permission to use university facilities does not imply university approval or endorsement of the policies, practices or products/services of the recruiting entity.

Entities that recruit at University of Idaho must adhere to:

  • U.S. Equal Employment Opportunity Commission regulations and guidelines
  • University of Idaho’s Policy of Nondiscrimination in the Faculty Staff Handbook 3200
  • University of Idaho’s Policies for Classroom Use (APM 35.35E) and Solicitation (APM 20.12)
  • National Association of Colleges and Employers Principles for Ethical Professional Practice
  • Employers must coordinate all on-campus recruiting activities through Career Services as well as cooperate with the university on inquiries regarding the recruiting process (i.e., including providing the names of any U of I candidates interviewed and hired).
  • Employers cannot use or disclose student information for any reason other than recruiting purposes for the posted position. This restricts selling student information to other entities for a fee or other forms of compensation.
  • Employers must clearly identify the name of the employing entity, job title, job description and rate/method of compensation when posting positions on Career Services' systems.
  • Employers cannot impose any fees or costs upon the university or its students (i.e., training fees, presentation supplies, sales kits, rental fees, work experiences, front-loaded financial investments, etc.). Fees charged by third parties for required and bona fide occupational qualifiers, such as background check for educators, is permitted.
  • Employers are not allowed to solicit or sell products/services during the course of the recruitment process (APM 20.12).
  • Employers cannot require recruitment of other members as the primary source of income (i.e. multi-level marketing, pyramid schemes).
Specific entity eligibility articulation

Eligibility for employer services may vary based on the type of organization recruiting. Special consideration has been made for the following types of entities:

Commission, sales and financial industry compensation

Employers using Career Services will offer regular/base salaries for positions. As noted above, a draw against future earnings does not constitute a salary. Employers offering commission-based positions may post job listing on the “Handshake” site, provided they:

  • Are full-time career opportunities
  • Require or prefer some level of college education
  • Specify that the opportunity is commissioned-based in the job posting on the “Handshake” site
  • Clearly define how the position will be paid in the job posting on the “Handshake” site (e.g. “Paid by the piece” or “Paid as a percentage of sales”)

No commission-based or part-time or internship positions will be posted, unless approved by the Career Services Office on a case-by-case basis.

Third party recruiters

Third party recruiters are agencies, organizations or individuals recruiting candidates for temporary, part-time or full-time employment opportunities other than for their own needs. These include entities that collect student information to be disclosed to employers for purposes of recruitment and employment. Third party recruiters are eligible for full employer services offered by Career Services and may recruit at U of I, provided the entity or individual:

  • Identifies the name of the employer it is recruiting for on all job postings, and includes the job title, description and rate/means of compensation.
  • Cooperates with the university when verifying the third party recruiter relationship with the employer.
  • Provides the university with information about the U of I candidates hired including employer and salary.
  • Does not disclose candidate information without written permission of the candidate.
  • Does not use or disclose candidate information for reasons other than recruiting purposes for the specific listed position.

Door-to-door sales

Entities recruiting for door-to-door sales positions may not recruit on-campus, nor may they post positions on Handshake.

Independent contractors

Entities recruiting for independent contractor positions may not recruit on-campus, nor may they post positions on Handshake.

Consultants

A person being paid on a 1099 basis is a consultant, not an employee. Entities paying individuals on a 1099 basis will be evaluated and considered on a case by case basis.

Network marketing organizations

Network marketing organizations are not considered employers for the purposes of recruiting at U of I and are not eligible for employer services and may not recruit on campus. The university classifies network marketing organizations as those that engage in one or more of the following practices:

  • Sponsorship of an individual in setting up his/her own business for the purpose of selling products or services and/or recruiting others to set up their own business.
  • Requiring an initial investment from individuals (e.g. required fees, payment for orientation or training session, and/or purchase of a starter kit).
  • Compensation in the form of straight commission, fees from others under their sponsorship and/or a percentage of sales generated by others.
  • Requirement of employee to collect and deposit gross amount from which the organization holds back money for expenses before the remainder is released as a net paycheck.
