Proctor Help

As a proctor, you have agreed that you are willing and able to do the following:

  • administer open- or closed-book/notes, timed or take-home exams;
  • download and print PDF file exams from the EO Portal;
  • maintain exam files at a secure location;
  • provide a location to administer timed exams;
  • verify student identity by checking valid photo ID;
  • follow exam instructions and complete the proctor certification;
  • return a copy of each exam by fax or email to our office within 24 hours after the student completes the exam; and
  • retain the original exam until the date indicated on the exam cover page.

If you find that you are not able to fulfill these responsibilities, and have already completed your verification form, please notify us and we will ask the student to find a new proctor.

The below information is to provide you with answers to frequently asked questions by proctors:

We'll verify your information with you annually. We verify this information to make sure that your contact information has not changed and that you are still willing and able to serve as a proctor. If your circumstances change and you are no longer able or willing to proctor exams, please notify us at eo-support@uidaho.edu.

When the semester begins on campus, we will email you your Portal access information including a username and password if we have received the signed Proctor Verification form from you. The password will be valid for the current semester and will expire when the Portal closes at the end of the semester. We strongly recommend that you log into the EO Portal when you receive your portal access information. Exams may not be posted yet, but you should be able to see the student(s) who have confirmed you as their proctor.

We may be waiting for the Proctor Verification form to be returned from you. If you have returned the form, but haven't received the email from us, please check your "junk" mail. The message may have been filtered to that folder. If you can't find the email with the password, contact us at eo-support@uidaho.edu for assistance.

This error is sometimes happening for proctors using Internet Explorer as their internet browser. Google Chrome and Mozilla Firefox work better, while older versions of Internet Explorer may not work at all. If you are using Internet Explorer as your web browser, close your browser, then log back in. If that doesn't work, contact us at eo-support@uidaho.edu for assistance.

We ask students to contact you to discuss your ability to proctor exams before submitting their proctor forms to us. When you receive our email with your Portal access information, we will also send you the list of students who have selected you as their proctor. You can also view this list in the EO Portal after you log in.

We will send you an email when the exams are posted to the EO Portal. Students are responsible for knowing exam deadlines and for setting up a testing time with you. We recommend that you login to the Portal and print exams 24 hours before the student arrives for testing. If there are any issues with the exam or downloading the file, contact us at eo-support@uidaho.edu for assistance.

You will need the newest version of Adobe Reader to download the PDF exam files. When you are ready to print the exam:

  • Login to the EO Portal.
  • Select the student's name from the list of students you are proctoring (there may be only one name).
  • Select the correct course for the exam (students may be registered in more than one course and should give you this information).
  • Select the exam or quiz to be printed (a date will appear when EO receives the completed exams).
  • The PDF exam file should open in Adobe Reader.
  • Print the exam by selecting the Print option in Adobe Reader and select your local printer.
  • After the printing is complete, verify all pages (including the bar-coded cover sheet) have printed correctly, then read through the exam instructions.

Submit each exam immediately after it is completed by the student per the instructions given on the exam cover sheet. If you are emailing the exam, view the attachment before sending it to us to ensure it is legible and all pages are included. When the exam is received in our office, the date received will appear next to the exam in the Portal. Contact us at eo-support@uidaho.edu if you have questions about this process.

You should retain the exams until the student receives a final grade in the course. This date will be indicated on the exam cover page. If a student receives an extension in the course, you will be notified via email. The student should not receive a copy of the completed exam.
