New Employee Onboarding

Pre-Employment Requirements

Important Notice: Due to ongoing concerns regarding the spread of COVID-19 you may encounter U of I offices that are closed, have modified operating hours or are by appointment only. If you are onboarding a new employee, it is very important to have them contact the appropriate office prior to their visit to ensure a representative is available to assist them. A list of U of I employees authorized to assist with I-9s has been made available to help with this process. Please remember it is a federal requirement that the I-9 be completed on or before the first day of work and it is the supervisor’s responsibility to ensure the new employee has authorization to begin working. Please contact Human Resources at hr@uidaho.edu or 208-885-3638 with any questions.

Click here to submit your information for the criminal background check.  Please DO NOT submit this information until you have received the email invitation prompting you to do so. 

If your position requires a CBC  but you have not received the email invitation, please reach out to your supervisor. 

Once your criminal background check has been approved and you have received an official offer of employment, you can visit Human Resources to complete the required employment forms. 

Visit Human Resources at 416 W 6th St in Moscow to receive authorization to start working.  The Form I-9 MUST be completed on or before your first day of work.  You will need to present appropriate forms of identification.   

If you will not be working on the Moscow campus please review the list of UI Authorized representatives that can assist with the I-9.  If your work location is not near a UI authorized representative, you can follow the instructions to complete a Remote I-9.

Getting Started

Once you have visited Human Resources you will be directed to visit the Vandal Card Office to obtain your employee ID card.  

Your department will work with their regional Technology Solutions Partner to get your Official UI email account set up.  

Direct Deposit and Web Time Entry

Once your EPAF (Electronic Personnel Action Form) has been applied to the system you will have access to set up your direct deposit & start tracking your hours via VandalWeb (if applicable to your position classification). 

               

W-4 Deductions

You will receive an email from payroll@uidaho.edu when you are able to enter your W-4 tax deductions.

You can stop by Parking and Transportation Services at 1006 Railroad Street in Moscow or visit the Parking and Transportation Services Website for assistance with all of your parking needs.

Register for a Benefits Orientation to learn about all of the benefit options.   Only register for an event that is on, or after your first day of work!

Student / Temporary

Visit the VandalCard Office in the Pitman Center to get your employee ID Card. 

**If you are a student with a valid Student ID you will not need an employee VandalCard.
