Grades

Final and midterm grades are entered through Faculty Grade Entry by the course primary instructor. Instructors must assign a final grade to all registered students.

Grade Submission Deadlines

Final grades are due at noon on Tuesday following the end of the term. It is imperative that grades are reported on time so that academic standing can be calculated, graduations can be confirmed, transcripts orders can be completed, and eligibility for future enrollment determined. College Dean's Offices are notified of grades not reported by the deadline.

Incomplete Grades

Refer to the General Requirements and Academic Procedures, Part 3, Regulation F of the General Catalog for complete regulation regarding incomplete grades.

An incomplete may only be assigned when the student has been in attendance and doing passing work within three weeks of the close of the semester (or within one week of the close of summer session). The student and instructor must agree upon the incomplete grade and the extenuating circumstances that made it impossible to complete the course on time.

When assigning the incomplete grade, the instructor must also assign an Incomplete Final Grade, also known as a reversion grade reflective of the grade earned if no further work is completed. The reversion date is automatically assigned to the latest possible date for completion, however the instructor may assign a final grade any prior date by using the Grade Change and Completion Request. When the student completes the work to satisfy the incomplete, the instructor must request a grade correction. Although an incomplete is not punitive, it remains on the student's transcript and is accompanied by the final grade (i.e. I/A, I/B, I/C).

Final Grades of F

Federal financial aid regulations require the institution to determine a last date of academic activity or attendance for all students who receive a grade of F (fail) in a class. If the student did not participate in an academic activity, the university is required to recalculate their eligibility for federal aid.

The last date of academic activity includes, but is not limited to, any one of the following:

• Physically attending class
• Submitting an academic assignment
• Taking exam, interactive tutorial, or computer-based instruction
• Attending school assigned study group
• Participating in online discussions about academic matters and/or initiating contact with the faculty to ask questions about subject matter

Regarding select of last attendance dates:

• Enter the last day of the semester for those who attend the entire semester, but earned a failing grade
• Enter the last day of attendance/activity for those who stopped attending; see definition of activity above
• Enter the first day of the semester (or first day for short courses) for those who never attended

Early Warning Grades

Early Warning Grades are due approximately four-weeks into the semester and are intended to identify students who are not making satisfactory progress in order to provide support to make them successful. Early Warning Grades are not recorded on a student's record and are entered in VandalStar.
