New Employee Onboarding

Welcome to University of Idaho. On this page you will find all the information you need to get started as a new employee.

Before starting work, you will need to complete your Form I-9 and onboarding paperwork. You may first be required to complete a criminal background check. Please review the pre-employment requirements below and contact Human Resources at hr@uidaho.edu or 208-885-3638 with any questions.

Pre-Employment Requirements

A criminal background check is required for most university jobs. If a background check is required for your position, you will receive an email from our third-party vendor at clientservices@verifiedcredentials.com with instructions how to submit your information for the background check. Please note your background check must be completed and come back as satisfactory before you can complete your I-9.

If you have any questions or concerns regarding your background check, please contact your supervisor.

Once your background check has been approved and you have an established start date, you may fill out your Form I-9 and receive authorization to start work. The I-9 certifies that you are legally eligible to work in the United States. Your I-9 MUST be completed on or before your first day of work.

To fill out your I-9:
  • You will need to present appropriate forms of identification. All documents must be original and unexpired. We are not able to review photocopies.
  • Visit Human Resources at 415 West 6th Street in Moscow (see map) with your forms of identification. Our office hours are 8 a.m. - 5 p.m. Monday through Friday. You do not need an appointment to fill out your I-9.
How do I fill out an I-9 if I am not in Moscow?

If you will not be working on the Moscow campus OR if your expected start date is before you arrive on campus, you may present appropriate forms of identification to an off-campus representative. They will assist with completing an I-9, which must then be mailed to Human Resources.

  • Recommended: Make an appointment with a U of I authorized representative at one of our statewide locations.
  • If you will be working remotely and your work location is not near any U of I location, follow the instructions to complete a Remote I-9. You will need to find a human resources representative at another university or county office willing to review your documents.

Please remember that you are not authorized to perform any work (including training, orientations, meetings etc.) until your I-9 has been completed.

New Employee Information

After your I-9 has been completed, your department will work with the Office of Information Technology (OIT) to get your official U of I email account set up. Please review the OIT New Employee Guide for information on getting tech support, accessing email and file storage, and more.

After your U of I account has been set up, you can request a VandalCard online. The VandalCard is your official university ID card and may be needed for building access.

If you are a student with a valid Student ID you will not need an employee VandalCard.

U of I employees are paid biweekly. Please note that the university is on a two-week pay lag, meaning each paycheck is for the pay period that ended two weeks before the paycheck is issued. You will receive your first paycheck on the second payday after you start work.

If you have a hourly position, you will track your hours and submit a timesheet through VandalWeb. See the quick guide to get started with your timesheet. Your supervisor will review time entry and leave requirements with you.

Once your hiring paperwork has been processed, you will have access to set up direct deposit and W-4 tax deductions for your paycheck. You will receive an email from payroll@uidaho.edu when you can complete this, usually within two weeks of your start date.

Visit the Parking and Transportation Services Website for assistance with all of your parking needs.

Once you have started work, please submit your campus contact information (office phone, office mailing address, office location) to the online directory.

New employees must complete required employee training within 30 days of hire. You will receive an email from Employee Development and Learning (EDL) to your university email account with instructions on how to access and complete your training. For more information, please visit EDL.

Be sure to also sign up for a Benefits Orientation to learn about your benefit options. Only register for an orientation that is on or after your first day of work!
