Room Reservation Policy / General Reservations

To reserve space or speak to someone about leasing opportunities, contact Coeur d'Alene Center at cdactr@uidaho.edu. Include your name, company name, email, phone number, date of event, event type and number of guests in your email.

The University of Idaho Research Park staff reserves the right to reassign and schedule rooms based on considerations of all-campus activities, institutional-priority events, campus entertainment, group size, room size and other special room or equipment needs. In such instances, every attempt will be made to include the client in the discussion and provide timely notice and adjust rates accordingly.

  • The University of Idaho is not responsible for lost, damaged, or stolen items.
  • Any damage to room(s) and/or equipment occurring during the reserved time will be the sole responsibility of the entity who requested the room.
  • Noise should be kept to a level that will not interfere with other people in the building.
  • Normal operational hours of the Research Park are 7:30 a.m. to 4:30 p.m. Monday to Friday. Events scheduled outside of these hours may be assessed an additional fee based on staffing.
  • Upon completion of the event, all garbage must be disposed in a waste container, and all lights should be turned off.

Cancellations

Notice of cancellations must be expressed, in writing via email by the contact person, no less than 24 hours before the scheduled activity, or the group/individual may face a cancellation fee of $25. University departments or tenants who fail to show or cancel the reserved space two times in a semester will no longer be able to reserve a room for the remainder of the semester and will be charged the $25 non-cancellation fee. Groups or individuals being charged for the room reservations that fail to provide 24 hours written notice of cancellation or fail to show at all will be charged a $25 non-cancellation fee. Groups, individuals or departments will forfeit deposit and will be assessed for any costs or fees already incurred.

Reservation Procedure

Reservations will be made on a first come, first serve basis in the following order of preference:

  1. University of Idaho departments
  2. Tenants of the Research Park
  3. Off-campus and commercial groups and will follow the Room Reservation Policy above.

University Departments

University departmental groups (faculty and staff) are not charged room fees, but may be assessed charges for room set-ups, special equipment needs, early and late closings and night and weekend staffing fees for events scheduled when the building would normally be closed.

Research Park Tenants

Tenants who occupy space at the Research Park will pay 75% of the regular commercial room fee, and may be assessed charges for room set-ups, special equipment needs, early and late closings and night and weekend staffing fees for events scheduled when the building would normally be closed.

Sponsored Groups, Government Agencies and Non-Affiliated Groups

Sponsored groups are those who are hosted by university departmental groups, regardless of whether guests pay a fee for the event or not. This category includes non-profit agencies and any workshop or conference with attendees who are not U of I faculty, staff, or students. Groups in this category will pay 75% of the regular commercial room fee, and may be assessed charges for room set-ups, special equipment needs, early and late closings, and night and weekend staffing fees for events scheduled when the building would normally be closed.

Idaho government agencies receive reduced fees for rooms and will pay 75% of the regular commercial room fee. They may be assessed charges for room set-ups, special equipment needs, early and late closings, and night and weekend staffing fees for events scheduled when the building would normally be closed.

Any sponsored group, government agency and non-affiliated group must make a 50% deposit before a reservation is considered confirmed.
