Creating Rules in OWA

Overview:

Email rules allow you to sort incoming e-mail to separate folders based on information contained in e-mail headers, such as the From: address, To:, Subject:, etc. This functionality allows easy management of your inbox.


Why would I use E-mail Filtering?

By sorting your e-mails you can keep your Inbox from getting cluttered. For example you take all the e-mails from a mailing list or a professor and automatically move them to a specific folder.


What can email filtering do for me?

Outlook offers many different email rule options. These include forwarding email to other users, deleting unwanted email, sending email from a particular person to a specific folder, placing email from a particular person into categories, and junk email filtering.

Some of the rules that you create will be available from any computer because they are server based rules rather than client based rules. There will however be rules that will not move between computers.


How do I delete a rule after I have created it?

Once you have created a rule you will see a checkbox that says delete rule listed right below the displayed folder name. Check this box and click Update/Change/Convert E-mail Filters and the rule will be deleted.


How do I know my filter is working?

Within 15 minutes of saving your filters, mail messages matching the criteria you set should be automatically filtered. Try sending yourself a test message that will fit the criteria to be filtered. Check the destination folder, your messages will be there.


Is the change/update of filters immediate?

No. The changes are immediately made to the ldap servers on our e-mail cluster but may take up to 15 minutes to be used by the mail server itself.


How do I create a new rule

Rules are the same for every version of Outlook (2007, 2010, web access, etc). In Outlook, you can access rules by the ribbon, clicking tools->rules. Below are several examples of some useful rules that you can implement on your Outlook installation, as well as learn how rule implementation works.

First lets look at how to get to the rule setup wizard:

  1. With Outlook 2007 open click on tools.
  2. Click on Rules and Alerts.
  3. For a new rule click on New Rule.
  4. Below are instructions on how to implement some useful rules-->

Automatically Forward Email

  1. After clicking on New Rule click Next.
  2. Select the condition that you would like this set to, for this example we will set it for anything sent to the email address.
  3. Click on Next.
  4. Choose Forward it to people or distribution lists. (You can do this as an attachment or just as a forwarded message)
  5. Once you have selected the option you will then select the link people or distribution lists and select who you want to send this to.
  6. Click Finish.

Deleting Unwanted Email

  1. After clicking on New Rule click Next.
  2. Select the condition that you would like this set to, for example you have a specific email address you would like blocked you will select from people or distribution list.
  3. Click on the link people or distribution list
  4. In the From box at the bottom type in the email address you would like blocked.
  5. Click Ok
  6. Click Next.
  7. Choose the option you would like to use. In this case Delete it. You can also choose to permanently delete it.
  8. Click Finish.

Sending mail to a Specified Folder

  1. After clicking on New Rule click Next.
  2. Select the condition that you would like this set to; for example you have a specific email address you would like moved you will select Move messages from someone to a folder.
  3. Click on the link people or distribution list.
  4. Select the email address for the person.
  5. Click Ok.
  6. Click Next.
  7. Choose the option you would like to use. In this case move it to the specified folder. You can also choose to move a copy to another folder.
  8. Click the link specified.
  9. Select the folder or create the folder, using the new button, you would like it to go to.
  10. Click Finish.

Placing Emails into Categories

  1. After clicking on New Rule click Next.
  2. Select the condition that you would like this set to;
  3. Click on the link people or distribution list.
  4. Select the email address for the person.
  5. Click Ok.
  6. Click Next.
  7. Choose assign it to the category.
  8. Click on the link category.
  9. Select the category you would like the email to show up as.
  10. Click Ok.
  11. Click Finish.

How do I use more advanced e-mail filters?

The ITS e-mail servers use the Sieve language to filtering incoming e-mail. If you are familiar with programming languages and would like to do advanced filtering you may check the “convert to advanced filter” box. This will give you a freeform box to enter your sieve filters. If you have errors in your filter you will receive an error message via email to your account and all messages will automatically be filed into your Inbox. WARNING: If you wish to convert back to the basic view you will lose all of your filter rules.


Does ITS provide support troubleshooting e-mail filters?

ITS will only provide support using the “Basic View” on the filters web page. We will not be able to assist with advanced sieve filters.
