Self-Help: Lync OWA

Overview:

  • After completion, you will have knowledge of Lync in the OWA environment.

Learn about the lightweight version of the Microsoft Lync client built into the Outlook Web App version of the Office 365 email system. This tutorial will guide you through basic use of the owa client, which lacks most of the advanced features of the desktop client, but allows easy Instant Messaging communication if installing the desktop version is not an option.




Log in to the Outlook Web App using your NetID.

Step 1

Log in to your Office 365 email account, at owa.uidaho.edu if you are a faculty or staff member, vandals.uidaho.edu if you are a student or alumni.udiaho.edu if you are a alumni/retiree, using you full email address and password.



Click the people button to view your contacts.

Step 2

Once logged in to OWA, click the people tab at the top of the window. This will take you to a list of your email and lync contacts. The Lync system is built into OWA, you from this contact window you can see the Lync presence status of your contacts.

A contact with a green bar next to their name is at their computer and available to instant messages. A contact with a yellow bar is away from their computer and may not be able to respond. A contact with a red bar is online but is unavailable (such as being in a meeting or busy). Finally, a grey bar means the contact is offline and you can not send them instant messages.




You can search the UI Global Address List for contacts by doing a Directory search.

Step 3

If you need to add additional contacts, you can do so by searching for your contact's name in the search field at the top of the window. Simply type in the name of your contact and hit the enter key.

The screen will change and your contact's card should pop up. If it does not, you can force OWA to search the entire UI directory bu checking the directory radio button on the side of the page.

To add the contact to your list, click on their card and then click the add user  button to add the contact. You can add their either to your full email contacts or as a Lync contact.



You can chat with contacts in much the same way as in the desktop client.

Step 4

To initiate a conversation, select your contact from the contacts list in OWA and click the start instant message conversation icon in the main content panel. This will open a new window containing your chat session. From here, you can use the chat interface in exactly the same manner as the desktop client to do basic instant messaging.

To end a instant messaging session, simply close the window by hitting the red "X" - the session will be terminated immediately.
