Self-Help: Lync OWA

Lync in OWA

This tutorial applies to the following operating system(s):

Overview:

After completion, you will have knowledge of Lync in the OWA environment.

Learn about the lightweight version of the Microsoft Lync client built into the Outlook Web App version of the Office 365 email system. This tutorial will guide you through basic use of the owa client, which lacks most of the advanced features of the desktop client, but allows easy Instant Messaging communication when installing the desktop version is not an option.

Step 1

Log in to your Office 365 email account using your full email address and password. Staff login: owa.uidaho.edu. Student login: vandals.uidaho.edu. Alumni/Retiree login: alumni.uidaho.edu.

Once logged in to OWA, click the people tab at the top of the window. This will take you to a list of your email and Lync contacts. The Lync system is built into OWA. From this window you can see the Lync status of your contacts.

A contact with a green bar next to their name is at their computer and can receive instant messages. A contact with a yellow bar is away from their computer and may not be able to respond. A contact with a red bar is online but is unavailable (For example: in a meeting or busy). Finally, a grey bar means the contact is offline and you cannot send them instant messages.

Step 3

If you need to add additional contacts, you can do so by searching for your contact's name in the search field at the top of the window. Simply type in the name of your contact and hit the enter key.

The screen will change and your contact's card should pop up. If it does not, you can force OWA to search the entire UI directory by checking the directory radio button on the side of the page.

To add the contact to your list, click on their card and then click the add user   button to add the contact. You can either add them to your full email contacts or Lync contacts.

Step 4

To initiate a conversation, select your contact from the contacts list in OWA and click the start instant message conversation  icon in the main content panel. This will open a new window containing your chat session. From here, you can use the chat interface in exactly the same manner as the desktop client to do basic instant messaging.

To end an instant messaging session, simply close the window by hitting the red "X" and the session will be terminated immediately.
