    Why Do I Have To Fill Out This Form?
    We are working to make the process to reserve a space as straight forward as possible. That said, there are very important fundamental questions that we will need answered before a space can be reserved: Please fill out the Event - Facilities/Services Request Form completely. Incomplete forms will be returned and no reservation made until all information is available to the scheduling manager
  • Will Alcohol Be Present At This Event?
    The University of Idaho has very stringent guidelines about allowing alcohol for any exterior or interior event. Recently the City of Moscow has also passed new regulations concerning what is required for exterior events serving alcohol. This will require additional paperwork and sureties before an event of this nature will be approved. Plan accordingly, and allow plenty of time (1 month minimum) for approvals if serving alcohol.
  • Will there be fees associated with reserving space at the University of Idaho
    Because the University of Idaho is not considered to be a “public park or venue”, we are not obligated to allow or sponsor events that aren’t directly related to University departments, officially registered/recognized University of Idaho groups (Provided by Dean of Students/ASUI) or directly related to the University of Idaho Mission Statement. Fees will always be charged for any group that doesn’t fall into these categories. Fees may still be charged for groups that fall within these categories to cover the administrative or special requirement costs associated with their event. This is dependent upon the Scheduling Manager for the site being requested.
  • Why do I have to have insurance?
    The University of Idaho requires any group that is not associated directly with a University of Idaho Department or an Authorized Student Group to have Special Event Liability insurance. This is to prevent the university from being held liable for any damages, liability, or risk that comes from this event. There are no exceptions. Officially recognized groups are insured through the University of Idaho’s own insurance program.
  • How can I know if my group is an officially registered/recognized group?
    If you are a staff member associated with a University of Idaho department, and the event will be sponsored and paid for with a University of Idaho budget number, then your group is officially recognized. If you are a group authorized by the Dean of Students office/ASUI, you should be listed as so at this web site: http://stuorgs.uidaho.edu/reserve.php . If you are not on this list, you should consider yourself to be an “outside group or agency”.
