Catering Services: Process and Policy

Official policies for University dining, catering, beverage and vending services are found in Chapter 80.31 of the Administrative Procedures Manual.

Minimum Advance Booking

Catering must be booked at least ten business days in advance to ensure your event is given the time and attention it deserves. A 15% late booking fee is added to orders that are not booked ten business days in advance.

Final Numbers

Catering requires final guest count numbers three business days in advance of the event for events with less than 100 guests. For events with 100 or more guests, final numbers are required five business days in advance.

Payment

Payment must be received prior to each catered function. Payments may be made by University Budget number, checks, Visa, Mastercard, or cash. When using a budget number, a billing information form is required to be returned to the Catering Office. Non-University, non-college, and non-school related groups must make a 75% deposit two weeks prior to the event. The remaining balance is due the day of the event.

Alcohol

  • Contact Auxiliary Services by email or by phone at (208) 885-5500 at least 15 days in advance to begin the application process.
  • A permit from the City of Moscow is required to serve alcohol at your event whether it is on or off campus.
  • The Office of the University President must approve applications for serving alcohol at University-sponsored events.
  • Catering charges $40/alcohol permit for application fees.
  • Idaho State Board of Education policy requires all guests to have their IDs checked and receive a wristband.

Definition of University-Sponsored Events

Any event affiliated with a University college/department, club, or student group held on the University of Idaho Moscow campus is considered a University-sponsored event.

Outside Vendors for Food and Beverage Service

University Dining Services is the exclusive provider of all catering and food services for University-sponsored events on the Moscow campus. No waivers are permitted to allow outside food and beverage services from unapproved vendors.

International Groups

University Dining Services has worked with student groups to support the cultural enrichment on campus. These catered events have included India Night, Nepal Night, and Africa Night. Special menu planning and recipes require a thirty-day advance notice.

Tentative Events and Cancellations

In order to avoid a late-fee, please contact Catering in advance, even if the order is tentative. If you need to cancel your event, please contact Catering as soon as possible. To avoid a cancellation fee, contact Catering at least a 48 hours in advance. Canceling an event after this deadline will result in a cancellation fee of 50% of the guarantee/estimated to cover food and labor costs already incurred.

Changes in Event Plans

To increase or decrease guest counts, change menus, or make other alterations, please contact Catering at least three business days prior to your event. We will do our best to accommodate your changes.

Leftover Food

Due to food safety liability, guests may not remove food from the function site.

Rooms can be reserved at the Idaho Commons and Student Union Building by calling (208) 885-6956. For all other University facilities contact University Support Services at (208) 885-0578.
