Alumni Club Criteria
To be recognized as an “Alumni Club,” the local community should:
- Have a minimum of 300 alumni to draw upon in the immediate (50 mile radius) area.
- Designate a Club Leader, and a separate Event Coordinator. No other formal structure is required to be in place but it is advisable to have a steering committee of 2-5 people to assist with events and club activities throughout the year. Local needs will determine actual committee scope and makeup.
- Meet three times a year to work on club tasks, programs or events.
- Conduct 1-2 alumni events a year. Major club events will be planned and budgeted in the annual alumni event planning process by the Alumni Office staff.
- Conduct a young alumni event if there are an adequate number of young alumni in the area.
- Attempt to provide a minimum of one service project to the University of Idaho, if possible. These might include student recruitment, mentoring, advocacy, etc.
- Cooperate with Alumni Office staff with arranging local venue coordination and event details
- Submit a completed evaluation survey following any activity or event.
- Complete a year end club activity summary and future forecast of club events, programs and funding needs.
As a recognized “Alumni Club,” the University of Idaho Alumni Relations Office will:

Provide assistance with alumni club event design and format.

Coordinate on-site staff assistance for major events, as possible.

Coordinate a University representative at select major events, as possible.

Develop event financial funding for major events.

Coordinate a promotion and publicity plan to announce and promote the event.

Assist and coordinate with an invitation process.

Provide assistance with event production, advance registration and program content.

Assist with providing University of Idaho decoration or theme materials including banners, posters, name tags and registration materials.

Coordinate and oversee local logistics and tasks including event contracts, insurance details, vendor payments and financial elements of event or program.

Provide staff assistance and support with club organization, event preparations, including local visits and committee/volunteer interaction, as practical.

Provide to local Leadership Committee a summary of evaluation comments following an event, program or activity.

Provide a staff member for participation, consulting as a resource with club leaders, and attending at least one work session with club leadership annually.
